Policy on protection of personal information

The following policy on protection of personal information is related to the Corporate Number Publication Site and the Corporate Number System Web-API Function managed by the National Tax Agency (NTA).

1. Basic concept

The Office of Corporate Number Management, the Planning Division, the Commissioner’s Secretariat of the NTA (hereinafter referred to as “the Office”) is collecting the information on the user within a scope necessary for smooth operation of services (information provision, various notifications, and opinion hearing, etc.) provided on the Corporate Number Publication Site (hereinafter referred to as “the Site”) and services provided on the Corporate Number System Web-API Function. The collected information is properly handled within the scope of the purpose of use.

2. Scope of information collected

  1. Information on domain names, IP address, and browsing, etc. is collected automatically on the Site.
    Information related to the utilization of the Corporate Number System Web-API Function such as IP address, application ID, the date of access, and others is collected automatically.
    The collection of cookies (the data sent to the user’s browser from the server-side and stored on the user's computer in order that the server-side identifies the user) is restricted within the scope of the purpose of enhancing usability, and includes no personal information.

  2. The user’s mail address is required for inquiries about Web-API.
    In that case, the input of the user’s name, phone number, and application ID, etc. is voluntary.

  3. The input of the user’s name, address, mail address, and phone number, etc. is voluntary when the user makes a request or gives an opinion.

  4. The department, name, *kana, and phone number of a person in charge are required to be input in the form for the registration in English on the Site.
    (*Japanese pronunciation of name).
    The input of the department and extension of a person in charge is voluntary.
    Input information is delated by closing the browser after printing it out on the paper. By sending the Office the said information, the Office collects the said information.

3. Purpose of use

  1. The information collected based on 2.a. is used as a reference to smoothly operate the services provided by the Site.

  2. The information collected based on 2.b. is used to answer or confirm the inquiries about Web-API.

  3. The opinions and requests received based on 2.c. is used as a reference to enhance the convenience of the Site and the Corporate Number System Web-API Function.
    The other items input voluntarily is used to confirm the opinions and requests received.

  4. The information collected based on 2.d. is used to confirm the information registered in English.

4. Restriction on use and provision

The Office shall not use for its own sake or provide the third party with the collected information for any purpose other than “3. Purpose of use” unless it receives a disclosure request based on laws and regulations, unless there are illegal acts such as unauthorized access and threats, etc., or unless there are other special grounds.

However, access information and user attribute information on the Site which are obtained by statistically processing can be published.

5. Security control measures

The Office shall take necessary measures to prevent leakage, loss, or damage of the collected information and properly manage it.

6. Disclosure of self-information

In the case that information concerning an individual which can identify a specific individual such as names and address is included in the information collected when the user input “inquiries, opinions, and requests” on the Site, it falls under “Retained Personal Information” stipulated in the Act on the Protection of Personal Information (Act No.57 of 2003). The user who input “inquiries, opinions, and requests” with personal identifiable information such as names and address on the Site can request disclosure of self-information.

7. Scope of application

The Policy is applied only on the Site.

8. Other

The National Tax Agency can revise the Policy. The revision will be notified on the Site.
